FIFO (First In First Out) and FEFO (First Expiry First Out) logic ensures products expiring sooner are dispatched first, which is critical for Dairy and Food & Beverage businesses. Stock movement history tracks all in/out transactions. Multi-warehouse operations support stock transfers between locations. Automated replenishment orders are generated when stock drops below configured minimum levels.

The system supports configurable price lists for different scenarios. Customer-specific pricing for special agreements, customer-type pricing (different rates for super stockists vs distributors), and geography-specific pricing (different rates for North vs South India) can all be managed with validity dates. Three types of schemes are supported: value-based (buy above a certain value for percentage benefit), volume-based (quantity-based discounts), and free goods (buy 10 get 2 free). Schemes can target specific products, categories, customers, or geographies.

The platform tracks outstanding balances and credit limits for every customer. Payment recording includes selecting customer, payment mode, and reference number with automatic invoice allocation. The system shows all pending invoices and outstanding amounts. When a customer exceeds their credit limit, configurable actions can stop new orders, allow only one more order, or block all future orders until dues are cleared. Credit limit exceptions require explicit approval through configurable approval workflows.

The system includes comprehensive master data management. User Master manages all users with role-based access, reporting hierarchy, and bulk upload capabilities. Customer Master manages retailers, distributors, and super stockists. Product Hub handles products, categories, brands, and SKU hierarchy with unit of measurement conversions. Geography Master is completely configurable, supporting structures like Zone to Region to District or State to City to Pin Code. Beat Planning divides areas into beats with outlet mapping and recurring visit schedules.

The platform supports configurable workflows with conditions, real-time triggers, loops, and notifications via email, WhatsApp, and push messages. Multi-level approval workflows support up to 7 levels deep with role-based or hierarchy-based assignment. For example, order placement approval, credit limit exception approval, and return processing can all be configured. Versioning allows modifications to be published as new versions without impacting live configurations. By default, no approvals exist until workflows are configured, keeping the system flexible for FMCG businesses.

GRN (Goods Receipt Note) manages incoming stock receipts for distributors and super stockists. Users define ordered quantity, received quantity, and receiving warehouse. If received quantity differs from invoice quantity, the system notifies the respective higher-level entity. Returns can be initiated at retailer, distributor, super stockist, or field sales level. When damaged or defective goods are returned, credit notes are generated after approval by the higher-level party. The entire process is tracked with full audit trail for FMCG and Dairy businesses.

The platform includes dashboards with KPIs on orders, revenue, inventory value, in-transit stock, active users, and top-selling products. Over 24 default reports cover sales trends, order status distribution, customer performance, and stock movement. Reports can be filtered by warehouse, brand, status, or custom parameters and exported to CSV format. Exported reports are stored for 7 days, so team members can access the same report without regenerating it.
